The Administrative Assistant role is a key position in our firm providing the first point of contact for our clients and staff; therefore, the ideal candidate is a positive, cheerful and enthusiastic individual. The successful candidate will work independently on day-to-day tasks, as well as provide effective support to the engineering team and other administrative staff within the company. This position requires a versatile individual who thrives on a variety of assignments and able to multi-task and handle shifting priorities with ease.
An important function of the role entails document processing, proofreading, editing, photocopying, compiling, binding, and assembling reports, specifications and drawing packages. Another key function of the position is to ensure that company standards are adhered to on a wide variety of documents including correspondence, presentations, reports and specifications. Therefore, an eye for detail and excellent proofreading skills (suggesting alternatives and making modifications) are essential.
This position is onsite at our Calgary office and is not eligible for remote work/work from home.
Daily tasks will include:
- Fulfilling front desk duties including monitoring the main phone line, guest interaction, mail and courier arrangements, ordering office supplies, as well as other reception related activities,
- Maintaining boardroom and kitchen areas,
- Arranging catering,
- Assisting staff with day-to-day requests and inquiries,
- Formatting, editing and proofreading a variety of documents including proposals, reports, contract documents and technical specifications to comply with company standards,
- Assisting with data entry and maintaining accurate records,
- Organizing and coordinating company events and activities,
- Collaborating seamlessly with our administrative team for smooth office operations,
- Performing additional tasks as directed by management.
Education and Experience Requirements
- A post-secondary diploma in Office Administration/Administrative Information Management,
- Minimum of five (5) years of experience providing administrative support,
- Must have an advanced level of proficiency with computer software such as Microsoft Word, PowerPoint, Excel and Outlook,
- Experience in Microsoft Publisher is an asset,
- Detail-oriented and possesses an eye for detail,
- Proficient keyboarding skills,
- Excellent command of the English language, both oral and written,
- Social media (LinkedIn) experience is an asset,
- Strong organizational and time management skills, with the ability to multi-task and prioritize effectively,
- Discretion, diplomacy and confidentiality displayed at all times,
- Adaptable and able to work in a fast-paced office environment with multiple personalities within a collective team environment.
